Privacy Management Plan – 6. Dissemination of policies and practices

The University's training and information program comprises the following elements:

  • all Deans, Responsible Academic Officers, Managers and Heads of Units receive information about:
  • legislative requirements under the Act
  • the Act's provision for payment of damages to aggrieved parties (up to $40,000)
  • the fact that corrupt disclosure or use of personal information is now a criminal offence
  • the need to appoint one member of staff as the unit's Privacy Contact Officer
  • the need to attend to those areas where breaches are more likely (such as inadequate security for staff and student files or failure to dispose of personal information that is no longer in use)
  • a Privacy leaflet is supplied to all staff
  • all new staff are informed about Privacy as part of a compulsory induction course
  • information about Privacy and the IPPs is on the University's website
  • regular updates and reminders about Privacy requirements are sent to Privacy contact officers for dissemination within units.

These activities are coordinated by the University's Privacy Officer. In addition, some units and faculties conduct their own Privacy and confidentiality training programs.

Privacy Contact Officers

These members of staff are responsible for:

  • liaising with the University's Privacy Officer about matters involving Privacy
  • handling requests from staff or students for access to personal files held within their unit
  • monitoring compliance within their unit
  • disseminating information to unit staff.
