Category 1 information

Publishing Category 1 information on the UTSWeb


The Category 1 — Core UTS Information Web Standard has been created to give effect to sections of the Publishing on the UTSWeb Policy that relate to the publication of Category 1 information on the UTSWeb (see the Compliance section at right for links to the particular sections). The Publishing on the UTSWeb Policy should be consulted in full for a broader understanding of the conditions that regulate publishing on the UTSWeb.

Standard

Category 1 information must be published in or from an approved authoritative source. Websites on the UTSWeb are only permitted to display Category 1 information by linking to an authorised website or by means of a feed from an authoritative source.

Purpose

The purpose of the Category 1 — Core UTS Information Web Standard is to ensure that:

  • the currency, accuracy and integrity of Category 1 information is preserved
  • Category 1 information is only published in or from the approved authoritative source on the UTSWeb, and
  • Authorising Officers and Owners of Information understand the conditions of use in relation to the publication of Category 1 information.

Scope

The Category 1 — Core UTS Information Web Standard only applies to the publishing of UTS information that has been classified as Category 1 information (see definition for 'Category 1 — Core UTS information' below).

Responsibilities

Owners of Information are responsible for ensuring that the information they publish or revise on the UTSWeb does not duplicate Category 1 information. (Note: duplication does not refer to the appropriate use of links or feeds.)

Authorising Officers for all categories of information are responsible for ensuring that the information they publish does not duplicate Category 1 information. Authorising Officers should refer any instances of duplication that they have identified to the Owner of Information to resolve.

Definitions

The following definitions include those listed in the Publishing on the UTSWeb Policy, as well as additional definitions relevant to this web standard.

Authorising Officer refers to all persons who have delegated authority to publish pre-approved information on a webpage or website housed within the UTSWeb.

Categories of information refers to the Publishing on the UTSWeb Policy category system that enables a clear distinction to be made between different types of information to be published on the UTSWeb. The categories of information are:

  • Category 1 — Core UTS information refers to the official authoritative source of UTS information regarding the UTS Act, By-law, Rules, Policies and Directives, Delegations, legislative compliance, UTS Council and its committees, and courses and subjects.
  • Category 2 — UTS business information refers to all information relating to the official business of UTS's executive, divisions, units, faculties, institutes and centres.
  • Category 3 — UTS teaching and research information refers to all materials that have been recorded on the UTS Digital Resource Register, which UTS staff are authorised to use for teaching purposes.
  • Category 4 — UTS staff and student information refers to all information published on websites or webpages by UTS staff and students that relates to their role and /or area of teaching, research or study at UTS.
  • Category 5 — UTS controlled entities information refers to all information associated with the official business activities of UTS controlled entities that is published on websites of controlled UTS entities or within Category 2 information.
  • Category 6 — other organisations associated with UTS information refers to all information on any of the organisations that the University has agreed to host their websites or webpages on the UTSWeb.

Feed refers to a method of including up-to-date information taken directly from a data source such as a database, website or blog. Some types of Category 1 information, such as UTS course information and fees, are able to be published via feeds from their respective authoritative sources on the UTSWeb. More feeds of Category 1 information will become available over time.

Information means the content of webpages; parts of webpages; files such as PDF, Excel and images; or any other files that can be downloaded or viewed from the UTSWeb.

Owners of Information refers to all persons who have delegated authority to both author and approve the content of information that is to be published on the UTSWeb.

UTSWeb includes all websites that contain the domain name uts.edu.au, or other names as registered by UTS from time to time.

UTS Web Standards refers to the agreed standards that ensure the practices associated with the publication and management of information on the UTSWeb are undertaken in a consistent and standardised way to enable compliance with legal requirements and UTS policies. The standards will be used as a single reference point to check compliance.

Application of the standard

Before the standard can be applied, it is first necessary to determine whether the information being published is classified as Category 1 information, and who occupies the roles of Authorising Officer and Owner of Information.

Category 1 information

The following list identifies which UTS information is classified as Category 1 information for the purposes of the Publishing on the UTSWeb Policy:

  • Act — University of Technology Sydney Act 1989 (NSW)
  • By-Law — University of Technology Sydney By-law 1995 (NSW)
  • Corporate information published in the UTS: Calendar and the UTS: Annual Report
  • Course fees
  • Course information
  • Delegations — Register of Standing Delegations
  • Directives
  • Policies
  • Principal dates
  • Rules — UTS Student Rules, UTS General Rules.

This list will be updated if and when other types of UTS information become identified and classified as Category 1 information.

Publishing Category 1 information on the UTSWeb

The following table indicates which Category 1 information can be published on the UTSWeb using feeds, and which should be referenced by linking directly to the information within the authorised website in the absence of feeds.

Linking to Category 1 information on the UTSWeb

Unless a feed is currently available for particular Category 1 information, links to information within the authorised website must be used.

Refer to the table above to determine which website is the authorised location on the UTSWeb for particular Category 1 information.

Keeping links to Category 1 information up to date

The following practices are recommended to help ensure that links to Category 1 information on the UTSWeb are kept up to date:

  • Authorising Officers who link from their website to Category 1 information should notify the Authorising Officer responsible for the information they are linking to. (Note: Authorising Officers for Category 1 information can be notified by using the email address included in the 'comments to' line in the footers of Category 1 websites.)
  • Whenever changes are made to the location of Category 1 information on the UTSWeb, the Authorising Officer for that information should notify other Authorising Officers that link to the website should be updated.

Using feeds to publish Category 1 information on the UTSWeb

It is now possible to use feeds from the relevant authoritative source to display some types of Category 1 information on websites within the UTSWeb. More feeds will become available over time, as UTS implements more authoritative source databases which will enable web publishing to multiple locations.

Feeds are currently available for UTS course information and subjects and for UTS course fees.

UTS course and subject feeds

UTS course, subject, major and sub-major information is stored in one authoritative source made up of two systems, the Curriculum and Student System (CASS) and the Course Information System (CIS). CIS uses CASS data in conjunction with CIS descriptive data to feed into print and online UTS course and subject publications (such as the UTS: Handbook), ensuring that UTS course information is consistent, and not published in varying versions in different places. Feeds from CIS to an appropriate website can be created by IML on request.

Course information must only be displayed on other websites or pages within the UTSWeb through:

  • the inclusion of a feed from the authoritative data source, or
  • links to relevant areas of the UTS: Handbook.
